Purpose of privacy policy

Debomat is committed to the right to privacy and makes every effort to ensure that all personal data is obtained, processed and used in a secure, reliable, ethical and transparent manner. Your privacy is important to us. We appreciate your trust that we will use your personal data both carefully and wisely, in accordance with the principles of this privacy policy, which is in force when you use our services.

This privacy policy aims to make clear to you what personal data we collect about you, why we collect it and what we do with it. References to personal data in this privacy policy include any information that directly or indirectly identifies you, such as your first name, name, Customer number, online identifiers, email address, billing and delivery address or previous purchases.

Please note that this policy applies in conjunction with other policies and procedures. It does not establish contractual or legal rights for anyone, but it is intended to ensure compliance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter referred to as the ‘General Data Protection Regulation’ or ‘GDPR’).

As your processing controller (data controller), we determine why and how we process your personal data. This privacy policy outlines what personal data we collect about you (Section 3.1), what legal grounds we rely on to collect your personal data (Section 3.2), how we protect your personal data (Section 4), to whom we disclose your personal data (Section 5), if necessary outside the European Union (Section 6). Moreover, we also determine how long we should keep your personal data (Chapter 7) and what measures we take to securely and permanently delete your personal data at the appropriate time (Chapter 8).

Who controls your personal data?

Debomat nv is the controller of the personal data you provide to us and is responsible for processing your personal data in accordance with applicable data protection legislation. Our head office is located at Industriezone De Zaat, Frank van Dyckelaan 12, B-9140 Temse, Belgium. Debomat is registered in Belgium under company number BE 00429.999.317.

How we collect and process your personal data

Personal data we collect about you

Because data privacy is so important to us, we want to remain open and transparent about how we use your personal data. Debomat will only collect your personal data when necessary in the context of our services.

Depending on your use of our services and our websites, we may therefore collect, use and disclose (i.e. process) the following types of personal data about you: your contact details, such as your first name, surname, e-mail address, IP address and telephone number. We may also collect information about payments, credits and orders. In addition, if you already have a Debomat account, we collect and process other information that identifies you or can be used to identify you for the provision of our services and Debomat products. This may include your Debomat customer number, your date of birth, your previous purchases and shopping preferences and your browsing behaviour on our websites. Even though we are technically considered ‘data controllers’ (processors), the ultimate control over your personal data always remains in your hands. If you give us proof of your true identity, you have the right to request access to a copy of the personal data we currently hold about you in a structured, commonly used and machine-readable format and to obtain information about the processing, including whether we process your personal data for profiling purposes. If you notice an error in your personal data, you can also ask us to correct the erroneous personal data or to complete your personal data. We will then notify all third parties to whom we have disclosed your personal data, so that they can ensure that your personal data is also completely accurate with them. Where technically feasible, you have the right to request that Debomat transfers your personal data to another company of your choice.

Legal grounds for processingUnder applicable data protection laws, personal data may only be collected and processed on the basis of a limited number of legal grounds. At Debomat, we rely on one of the following legal grounds to process your personal data:

  1. necessity for the performance of a contract with you (e.g. when you purchase products from us);
  2. legal obligation to which Debomat is subject (e.g. when we handle your payment details);3. legitimate interests of Debomat (e.g. when we send you marketing emails about products similar to those you have already purchased from us);

How we erase your personal data

In certain circumstances and provided you give us proof of your true identity, you can exercise your right to request that your personal data be erased and that we inform receiving third parties to whom we have provided your personal data of this request. Please note that this is only possible to the extent that the personal data are no longer needed for the original purpose (i), if the processing was based on your consent and you withdrew it (ii) or if you have already objected to the processing based on our legitimate interest (iii).

Except when we need to keep a copy of your personal data for statistical purposes, to establish, exercise or defend legal claims (e.g. in connection with the warranty period applicable to products sold by Debomat) or to the extent we are required by law to keep a copy of your personal data, you can be confident that Debomat will either securely delete or permanently anonymise your personal data once we have fulfilled the original processing purpose and when it is no longer necessary to keep your personal data.

Your rights as a data subject
If you would like more information or would like to exercise any of your rights mentioned above, please contact us at info@debomat.be . We will do our best to reply to your e-mail as soon as possible, and in any case within one month.
If it takes us more time to comply with your request, we will inform you and we will contact you again within two additional months. Debomat will not charge you for this, unless we have already provided you with the requested information previously or unless it is unreasonably difficult for us to obtain that information. In that case, we will let you know in advance the administrative costs.

If you are not satisfied with the way we have handled your request, you have the right to request that our use of your personal data be restricted and to lodge a complaint with the supervisory authority responsible for the protection of personal data in your country of residence. Even though we sincerely hope that this will not be necessary, we have listed the contact details of the relevant data protection authorities below.
